2. Personal data we process

Contact form

When you contact Solitolab through the website, we may process:

• your email address;
• the content of your message;
• any information that you voluntarily include in your message;
• technical information associated with the submission, such as IP address, date and time, referrer information or similar security metadata.

Please do not submit sensitive or special-category personal data through the contact form unless it is strictly necessary.

Direct communications

If you contact Solitolab directly by email or another communication channel, we may process your contact details and the content of the communication in order to respond to you.

3. Purposes and legal basis

Personal data received through the contact form or direct communications is used to:

• respond to questions and enquiries;
• assess requests relating to Solitolab's professional services;
• take steps requested by you before potentially entering into a professional or contractual relationship;
• maintain the security of the website and prevent spam, fraud and abuse.

Where your enquiry concerns a potential professional or contractual relationship, processing may be necessary in order to take steps at your request prior to entering into a contract.

For other enquiries and for the prevention of abuse, processing may be based on Solitolab's legitimate interest in responding to communications addressed to it and maintaining the security and proper operation of its services.

Solitolab does not use contact-form data to send newsletters or unrelated marketing communications unless separate information and, where required, consent are provided for that purpose.

4. Service providers

Solitolab uses third-party service providers that may process personal data on its behalf where necessary to operate the website.

Hostinger

Hostinger provides website hosting, domain and/or email infrastructure used by Solitolab. Hostinger acts as a data processor in relation to customer data processed on behalf of Solitolab under its applicable data processing terms.

Web3Forms

The contact form is processed using Web3Forms, operated by Web3Creative. When you submit the form, the information entered in it and associated technical metadata are transmitted to Web3Forms so that the submission can be validated, protected against spam and delivered to Solitolab. Under its Data Processing Agreement, Web3Creative acts as a processor on behalf of Solitolab.

Web3Forms may use subprocessors for hosting, infrastructure, email delivery, security and spam prevention. According to its current documentation, some spam-prevention providers may receive the submitter's IP address and email address.

5. International transfers

Some service providers and subprocessors used in connection with the website or contact form may process personal data outside the European Economic Area.

In particular, Web3Creative operates from India and some of its subprocessors operate internationally. Where required under European data protection law, Web3Forms states that these transfers are subject to appropriate safeguards, including the European Commission's Standard Contractual Clauses.

Hostinger also provides contractual safeguards for transfers outside the European Economic Area where applicable.

6. Data retention

Solitolab will keep its own copy of contact enquiries only for as long as reasonably necessary to respond to the enquiry and manage any subsequent communication.

As a general rule, enquiries that do not result in an ongoing professional or contractual relationship may be deleted or anonymised within 12 months after the last relevant communication, unless there is a legitimate reason or legal obligation to retain them for longer.

Where an enquiry results in a professional or contractual relationship, relevant information may subsequently be retained under the rules applicable to customers, accounting, taxation, contractual obligations or the establishment, exercise or defence of legal claims.

The infrastructure used to process the contact form may apply its own technical retention periods. Web3Forms currently states in its Data Processing Agreement that submission data is subject to a physical time-to-live of up to three years, subject to earlier deletion or shorter retention where applicable.

7. Your rights

You may exercise the rights available to you under applicable data protection law, including, where applicable:

• access to your personal data;
• rectification of inaccurate data;
• erasure of your personal data;
• restriction of processing;
• objection to processing;
• data portability.

Please provide enough information for us to identify the relevant data and understand your request. Additional information may be requested where reasonably necessary to verify your identity.

You also have the right to lodge a complaint with the Spanish Data Protection Agency (Agencia Española de Protección de Datos — AEPD) if you believe that your personal data has been processed in breach of applicable data protection legislation.

8. Automated decision-making

Solitolab does not use personal data collected through this website to make decisions based solely on automated processing that produce legal or similarly significant effects on visitors.

9. Cookies and similar technologies

Solitolab does not currently use advertising, behavioural tracking or analytics cookies. No non-essential cookies are intentionally placed on your device by Solitolab for analytics or advertising purposes.

This website uses your browser's local storage — not a cookie — to remember your language preference (English or Spanish) between visits. This storage is strictly necessary to display the website in your chosen language and does not require your consent under applicable e-privacy rules; it does not track your activity, identify you individually beyond this device, or serve any advertising or analytics purpose. You can clear it at any time through your browser's settings.

Technical mechanisms that are strictly necessary for security, network communication or the operation of the website may be used where required.

If Solitolab introduces analytics, advertising or other non-essential tracking technologies in the future, this Privacy Policy and, where required, the website's consent mechanism will be updated accordingly.

10. External websites and social networks

The website contains links to third-party services such as Instagram and LinkedIn.

Simply displaying a link does not transfer the information entered in the Solitolab contact form to those services. However, once you follow an external link, the processing of your data is governed by the privacy practices of that third party.

Solitolab applies reasonable technical and organisational measures intended to protect personal data against unauthorised access, loss, alteration or disclosure.

Access to personal data is limited to those services and persons for whom it is necessary for the purposes described in this policy.
